Privacy Policy

This Privacy Policy describes how Proctord, Inc. (“Proctord,” “we,” “us”) collects, uses, and shares information when you use our coding assessment platform, including our web dashboard at app.proctord.dev, our marketing website at proctord.dev, and our VS Code extension (collectively, the “Service”). We treat candidate trust as a load-bearing feature; this policy is written so a candidate can read it in a single sitting and know exactly where they stand.
Data we collect
When a hiring company uses Proctord, we collect information they provide about their organization (company name, billing details, team member emails, role assignments) and information they create inside the Service (assessment definitions, question content, test cases, configuration, and audit notes).
When a candidate takes an assessment, we collect: the candidate’s name and email (provided via the invite link), code submitted to each round, test verdicts and run logs, the size and timestamps of paste events larger than 200 characters, focus-gained and focus-lost events on the editor window, and the IP address used during the assessment. We collect this data to grade submissions, surface plagiarism signals, and provide an audit trail for the hiring company.
Data we do not collect
We do not capture keystroke timing, mouse movement, scroll patterns, webcam frames, microphone audio, screen captures, or browser tab activity. We do not read files outside the assessment’s working directory in your editor. We do not train any machine-learning model on candidate code without explicit, separate consent.
Cookies
We use one strictly-necessary session cookie on app.proctord.dev to authenticate logged-in users. We use Cloudflare Web Analytics for aggregate, cookieless traffic measurement on proctord.dev. We do not use third-party advertising or marketing cookies.
Third parties
We share data with the following service providers, each bound by a data processing agreement:
- Resend — transactional email delivery (invite emails, verification, billing receipts).
- Cloudflare — hosting, content delivery, and DNS for both the dashboard and the marketing site.
- Hugging Face — hosted inference for our code-similarity tokenizers used in the Jaccard plagiarism signal. Submission text is sent stateless; nothing is retained on Hugging Face servers beyond the request.
We do not sell personal information. We do not share personal information with advertisers. If we ever change this, we will notify affected users at least 30 days before the change.
Retention
Submission data, telemetry, and audit logs are retained for 24 months from the date of submission unless the hiring company configures a shorter retention window in their settings. Account-level information (company, billing) is retained for as long as the account is active and for 12 months after closure for financial and legal recordkeeping.
Your rights
Candidates and admins can request access to, correction of, or deletion of their personal data at any time. We complete deletion requests within 30 days and confirm by email. Users in the European Union, United Kingdom, and California have additional rights under GDPR, UK GDPR, and CCPA respectively, including the right to data portability and the right to object to processing.
